No Shortcuts to PR Glory, Then or Now

How PR Worked Before the Internet…

I started out in PR before the Internet or email. It was the era of fax machines, the Yellow Pages and 400-page media directories that you combed through to research and build your media lists. There were few shortcuts on the way to mastering your PR skills, but in some ways, all of today’s technology and automation tools might actually be shortchanging entry-level PR people and getting in the way of developing PR fundamentals.

Back in the day, once you had your list built, you then had to call each reporter until they picked up the phone and then use your verbal skills to hold their attention more than eight seconds to pitch your story. Those calls helped you develop a thick skin, fast. That real-time feedback taught you which approaches worked or didn’t.

Unfortunately, in today’s email environment, you’ll never really know what they loved or hated about your pitch. (Unless you follow @smugjourno or @DearPR to monitor Tweets from journalists losing their s*** after being addressed with the wrong name for the 10th time in one day, sent another off-topic pitch, distastefully news-jacked or sent a 120 mb attachment.)

In the pre-email era, entry-level PR pros had to work the phones but that process made us better, faster.

We had another tool beside the phone. It was called the fax machine. Part of paying your dues was standing over one feeding it hard-copy press releases with your fingers crossed, hoping to hear the modem answer. (If you don’t know what a modem sounds like, it’s kinda like a DubStep drop.) That sound let you know that your brilliant press release was transmitting.

If you were sending a fax to a busy newsroom, you could often expect repeated busy signals and multiple attempts to get your press release through. Faxes could only be sent one at a time. You could punch in several fax numbers, but they’d be delivered sequentially and not simultaneously.

Think about that, for a moment.

You, literally—and I mean literally–experienced the sensation of your pitch colliding and competing for bandwidth with other pitches. The idea that your pitch was one of hundreds being sent to an outlet or reporter was not just a concept. It was something you actually heard and saw.

Anyhow, damn. Those days could be a real grind. Some labor-intensive, inglorious work. Like walking uphill both ways to and from school. But it was just what you had to do so you did it.

So, here’s my point: While the tools may have changed, I honestly do not think that the fundamentals have.

PR still requires an awful lot of legwork to do right and over the past quarter century, I have found that there is no substitute for that hard work—particularly as you are starting out. Generating a Twitter following, mastering Facebook’s algorithm, researching blogs for your thought leadership project—it’s a different grind, but to succeed you’ve got to do the work.

The practices I learned in the early 90s as an entry-level Gen Xer gave me sound fundamentals. It was a methodical process—detailed, diligent and it kept you close to your media contacts. You worked hard to find each contact and cultivate it. You knew the value of each contact and sent your pitches out into the world with each recipient in mind.

If I wanted to target my client for a radio interview, I had to listen to that radio show. If I wanted a trade or consumer magazine to feature my client’s project, I had to read the magazine. There was no website to consult or Google to search.

You had to be dialed into your media list, totally aware of who each contact was and why the hell they’d want to do a story on your news. I think this is one of those basics that has been lost in the race to automate our work, and it is the bane of the remaining working journalists who are inundated with off-topic email pitches. It’s also the bane of PR professionals who know that it takes time to do this job right but get pressure from clients who think PR is just distributing press releases to massive lists.

What Can You Do Today for Maximum Career Growth & Success?

What would happen to your pitching skills and PR instincts if you adopted these old school practices. What if you voraciously consumed the very same media you were expected to earn coverage in? What if you approached every single media contact on your media list like a wedding guest—knowing their background, your relationship to them, whether they’d want the ribeye or the vegetarian option and who they’d want to sit with?

I tell you what. You’d be successful. You’d be a rock star.

In today’s environment of cheap, plentiful and immediate information, taking pains to research and document each entry in your media list probably makes you feel like you’re doing it wrong.

Stifle that impulse. Take the time. If you have a passion for communications and telling great stories, then focus on your fundamentals. Do what might feel like drudgery. It’s called paying your dues. We all did it. If we wanted it, then we did it.

So if that’s you, don’t miss the opportunity to shine because it looks like hard work.

Put that extra care and attention into your work. Invest extra time in your day for attending a webinar to build your knowledge. Spend a little extra time every day reading up on your industry and talking to the more experienced people on your team about what you’re learning to get their take and advice.

And for god’s sake, show up. Network with journalists, other PR professionals, peers and business leaders. Volunteer on a committee so you can practice your leadership skills outside of the office to get more confident contributing during team and client meetings.

It may sound old-timey but work hard, pay your dues, take chances with your new knowledge and you will get noticed and rise quickly. I assure you, don’t be afraid to do these things for you will have one of the most exhilarating and rewarding careers imaginable.

Hospitality PR Pros: Interview, Don’t Pitch, Travel Writers

What happens when 25 travel media and an equal number of hospitality PR professionals are put in a room together for lunch? First, it gets really loud.

Second, if those 25 travel media are from Vancouver and the travel PR pros are from California (including destination marketing professionals from San Diego and Palm Springs), they’ll quickly find a lot in common.

For example, Vancouver media like sunshine: we have a ready supply! They like active outdoor fun: we make great hiking, surfing and cycling buddies. They’re into fresh, healthy and creative dining washed down with a delicious craft beer: all are abundant in San Diego and California.

A couple weeks ago was National Tourism and Travel Week in the U.S., and I spent Tuesday at a Visit California luncheon at the Vancouver Art Gallery talking with Canadian travel media about our client partner Visit Oceanside.

The format of the event was a progressive luncheon where the media stayed at one of five tables and the hospitality PR representatives rotated to a new table with each course. It was a fast, fun way to make sure everyone got a chance to connect and enjoy quality time.

I have attended similar events in Vancouver and the Bay Area about a year to a year and a half ago. At those events I was representing all of our hospitality PR clients – from Tenaya Lodge at Yosemite and Sequoia and Kings Canyon National Parks to hotel and resort properties in Carlsbad, Del Mar, North Park, the Gaslamp, Coronado and Borrego Springs. Each has unique qualities (natural splendor, historic preservation, beach fun, desert serenity, hipster chic, family escapes, spas, wellness, fantastic dining and stargazing) and I felt such pressure to get each of their stories out and cram all of the information I could into every encounter I had. At the conclusion of those prior events, I felt like I hadn’t really made the connections or created the opportunities that I had set out to build.

With that in mind, I changed my approach for this luncheon. Instead of trying to get my story out, I focused first on the travel writer’s stories. I learned as much as I could in the time available–what do you write about, who do you write for, what drew you to travel writing, what have you written about most recently, what kinds of stories do you like to tell, what do you think of San Diego and California?

And a funny thing happened. I learned enough about each writer and TV producer to know which travel experiences and story angles would resonate with them. I now know who wants to cover skate parks and extreme sports spotlighting Oceanside’s active lifestyle opportunities. I know who wants to pursue the perfect fish taco. I know who might like to drive the Hops Highway (or at least sit shotgun for a North County beer tour). More than that, I also felt like I made some new friends and sincerely hope to welcome these folks to Oceanside over the coming year and share a future meal or drink with them.

All that is left to do now is ask them what time of year they’d like to make the trip, follow up and get it on everyone’s calendar.

Rediscover The Lost Art of Conversation

For us communicators at (W)right On, it’s essential we understand and practice the art of conversation. Shown in Celeste Headlee’s interesting TED talk, it’s apparent that fewer and fewer of the younger generation are developing and exercising this skill. Imagine if the 1/3 of teens who send more than 100 texts per day instead worked on their conversational skills: they’d be better prepared for the dating scene, career opportunities and so much more. As Harvard University’s David Deming points out, “high-skilled, difficult to automate jobs increasingly require social skills.” In fact, in a 2006 survey of 431 large employers, the five most important skills for college graduates ranked in order were: oral communication; teamwork/collaboration; professionalism/work ethic; written communications; and critical thinking/problem solving.

Becoming an older person myself, I wrestle with this issue. On the one hand, it seems to me we need to learn – and teach – oral conversation skills for the numerous good reasons just noted. On the other hand, the tidal wave of alternate communication like texts, tweets, SnapChats, and Facebook posts cannot be ignored. Communication evolves, and so must we all. So is the latter the new reality, with the art of conversation destined to a fading past? I think not.

At (W)right On, we deeply understand the importance of relationships in just about all endeavors. And at the heart of every developing and flourishing relationship is conversation. When we provide presentation training, media training, a social media program, and just about everything else we do, at the core of each is conversation. So while Celeste focuses on tips for conversations while you’re in them at networking events, say, I offer these thoughts as to how to get in – and out – of them.

  1. Go for it – Relax and let go of your fear, since there’s always something you can use to start a conversation. Ask a question, whether it’s for help, an opinion or advice. Make a provocative statement, or muse about a hypothetical situation. Noticing something about the other person (not too personal) or a mutual friend will usually pique their interest to talk with you. Having some topics in mind beforehand will let your sub conscience be doing some prep work for you.
  2. Be aware of timing – Catching someone with their mouth full or clearly with one foot out the door is likely to be unproductive. But noticing and approaching someone by themselves in a crowded room will usually be met with appreciation.
  3. Embrace diversity – Conversations are more interesting if they’re with someone less like yourself. So to switch things up, avoid the ‘comfort zone’ with your clone, and instead seek to converse with someone who knows things you don’t, be it a younger or older person or someone from another culture, societal background and/or education type and level. You’re less likely to find yourself drawing blanks since differences and new information are inherently more interesting than consistent agreement.
  4. Exit gracefully – Too much of a good thing can be just that, so it’s important to know when to move on. If at some point you’ve mentioned that you ‘have just a moment since you’re meeting friends’, for example, then you can deploy this when needed. It’s a social lubricant to help avoid awkward moments, and you can think of many others that are authentic to you. If needed, you can use a common excuse (‘have to get back to so-and-so’, ‘connect with [someone you met earlier] before they leave’, ‘take this call/text you’ve been waiting for’, etc). If needed, you can also pull someone else into the conversation to tactfully take over for you. If you’re there with a colleague, you may even have a pre-arranged cue to help you guard your time. In any case, listen for the natural transition, keep the ending on a positive note and recap follow-up actions (more social lubricant so it’s not so much a ‘good bye’ as it is a pause in the conversation to be picked up later).

The art of conversation is just that: an art. Though some seem to possess the gift of gab, it really isn’t something genetically programmed within a certain few. Great conversation skills must be taught, role modeled, and ultimately practiced and learned. Like many skills, becoming good at communicating is as much about attitude and willingness to put in the effort as it is about technique – if you continue to work hard and develop your abilities, before too long it becomes effortless.
